The Role

The Safety Administrator / Document Controller is responsible for coordinating and executing document updates, document control, and WHS database management activities to support the Construction Materials business unit as it prepares to operate as a stand‑alone entity. This role ensures WHS documentation, controlled records, system data, and compliance information are accurate, current, and aligned with internal and ISO system requirements.

The Safety Administrator is a 6-month contract position based in Dubbo, NSW. Ad hoc travel to other operating sites may be required. 

Key Responsibilities

Transition Support Activities:

  • Assist with establishing independent document libraries, compliance 
    registers, and data flows for the stand-alone business unit. 
  • Support safety team members with any administrative tasks required 
    to enable separation-readiness. 
  • Review, revise, and format WHS documents to meet business unit 
    and ISO requirements. 
  • Maintain version control and ensure documents are accurate, 
    current, and accessible to relevant stakeholders. 
  • Support the Safety Systems Coordinator by preparing documents 
    required for the Safety Management System. 
  • Assist in aligning procedures, forms, and registers in preparation for 
    the business unit’s transition to stand-alone operations. 

Database Management 

  • Assist the Safety Systems Coordinator with the development of a 
    stand alone WHS incident and injury database (Donesafe). 
  • Ensure data accuracy, completeness, and timely updates, including 
    follow-up actions and closures. 
  • Run regular data audits to ensure completeness and system integrity 
    during transition activities under guidance of the Safety Systems 
    Coordinator.  

Knowledge & Experience

  • Minimum 2 years’ experience in an administration or similar role.
  • Experience with accredited management systems (ISO 9001, 45001, 14001) is highly regarded but not essential.
  • Experience with databases preferred but not essential.
  • High-quality communication skills and the ability to influence stakeholders at all levels.
  • Proven ability to work autonomously and manage competing deadlines in a fast-paced environment.
  • Strong organisational and data-management capabilities.
  • Full working rights in Australia.
